Closing Flow

Closing Flow gives your team a consistent way to record the end of each shift. Specialists confirm the location, enter the closing cash amount, record any daily meters you have configured, complete your cleaning and closing checklist, record stock opened during the shift, and submit notes when needed.

This guide is for business owners and administrators responsible for configuring closing procedures and reviewing daily closing reports.

Closing Flow is a short operational checklist for the end of the shift. It helps your organization capture who closed a location, when they closed it, the cash available at closing, daily meter readings and usage, whether each closing condition was met, and which inventory items were used during the shift.

The flow is non-blocking. Specialists can choose Later and continue using the rest of FullDay, then return to Closing when they are ready.

Organization administrators can enable or disable Closing Flow in Settings → Daily operations, independently from Opening Flow. When it is disabled, specialists are not prompted to complete the flow.

Enable it after your locations, specialist schedules, and closing checklist are ready.

Daily meters are configured once in Settings → Daily operations and used by both Opening Flow and Closing Flow. A new closing uses the current active meters (the same list Opening Flow shows). If the specialist is finishing an opening that was already submitted for that location and date, Closing Flow keeps the meter labels and units stored with that opening, even if you renamed, archived, or replaced the meters afterward. Closing reports show the opening reading, the closing reading, and how much was used during the day.

If opening was not recorded for that specialist, location, and date, the report still shows the closing reading and notes that the opening reading is missing.

Administrators create the Yes or No checklist items specialists confirm during closing. Add each condition in the order your team should check it, such as whether treatment areas were cleaned or supplies were restocked.

You can:

  • Add closing condition items
  • Arrange items in the intended completion order
  • Archive items that no longer belong in the active checklist

Archived items are removed from future closing checklists while remaining part of reports that already recorded them.

A specialist with a scheduled shift that day sees a reminder card on the dashboard when their shift is near its end (within one hour of the scheduled end time). On other admin pages, a persistent reminder stays at the top until the closing is submitted. Neither prompt blocks the rest of FullDay.

The specialist can start the flow from the dashboard card or the reminder, or choose Later. The Closing item under Daily operations also lets a specialist start manually, which supports cover days when they do not have a scheduled shift.

If a specialist’s date of birth is configured and today is their birthday, the greeting includes a birthday message.

During Closing Flow, the specialist records:

  1. Location: The salon being closed.
  2. Closing cash: The cash amount available at the end of the shift.
  3. Daily meters (when configured): The current reading for each active meter, or the meters stored on that day’s opening if the specialist is finishing an opening submitted before a meter rename or re-create.
  4. Closing conditions: A Yes or No answer for each active checklist item.
  5. Details for No answers: Required context explaining any condition that was not met.
  6. Stock opened during shift (when Stock/Inventory is enabled for your organization): How many units of each item were opened or used. Leave blank or zero if none were used.
  7. Additional notes: Optional information that may help administrators understand the closing.

Submitting the flow creates a closing report. The closing cash amount is also written to Cash records, so the daily financial record ends with the same amount reported during closing. When Stock/Inventory is enabled, quantities entered here are subtracted from inventory as usage movements.

After submit, the specialist sees a completion screen. They can choose Stay on page to return to a blank closing form and start another closing, or Back to dashboard.

Administrators can review submitted closing reports to see:

  • The specialist who completed the closing
  • The selected location
  • The closing date and time
  • The closing cash amount
  • Daily meter opening, closing, and used amounts (or a note when opening was not recorded)
  • Every recorded closing condition and its Yes or No answer
  • Required details for conditions answered No
  • Stock items used during the shift (when recorded)
  • Any additional notes

Filter reports by date range, location, and specialist. Use Reset Filters to restore the default date range, All locations, and All specialists in one step. Review reports regularly to confirm end-of-day cash, spot recurring cleaning issues, and track product usage.

  • Keep checklist items specific enough to answer clearly with Yes or No.
  • Put conditions in the same order your team follows while closing the salon.
  • Ask specialists to explain No answers with useful operational detail.
  • Archive outdated conditions so the active checklist stays focused.
  • Use the manual Closing entry when a specialist covers a day without a scheduled shift.
  • Review closing reports alongside Cash records and inventory movements as part of your daily routine.
